On April 17-18, Yalta International Economic Forum (YIEF) took place in the Republic of Crimea. “Proxy Centre” company acted as an operator of the Forum. The Forum became the first significant and large-scale event in the Crimea, held under the auspices of the Ministry of Crimean Affairs of the Russian Federation, the Government of the Republic of Crimea and all-Russia Public Organization "Business Russia".
“Proxy Centre” company, being the Forum’s operator, was responsible for the whole event’s organization aspects and preparation process. “A major challenge was facing us: to organize the Forum from the ground up under cautious attitude to the region and schedule constraints, which were more tight than usually when arranging a state and international level event, - says Sergey Lazutkin, Director General of the “Proxy Centre”. However, we had no room for error: YIEF was planned to be TOP-10 biggest economic forums of the Russian Federation.”
“And the first pancake was not humpy”, - says the Head of the Republic of the Crimea, Sergey Aksenov. “We suppose that the Forum was held at the highest level. Speaking frankly, I was expecting less, but we smashed the target” – added the Head of the Republic of the Crimea.
One of the success cornerstones was impressive list of participants: not only officials and business elite of the Russian Federation but also international participants from 13 countries – though we did not expect foreign companies’ activity this year. Totally, more than 600 guests participated in the Forum.
“Proxy Centre” specialists sent invitation to 1200 Russian and 400 foreign companies. Personal mail-out was sent by means of the biggest Russian forum’s database. Our specialists also organized a call-center via which guests were able to get acquainted with a comprehensive information about event, conditions and participation request status. During the Forum our managers were meeting and greeting the participants in the airport, assisting with transfers to the hotels and on the way back.
Our technical management was dealing with the meeting venue’s set-up and decoration of the Investment projects of the Republic of Crimea expo-zone, also fitting the venue with the neccessary technical equipment and branding in line with the Forum’s corporate identity.
“Proxy Centre” company was organizing participants’ transport support: personal transfers for VIP guests and cruising shuttles between the meeting venue and “Yalta Intourist” hotel. We also provided transfers from the “Mriya” hotel to the Livadia Palace – for the concluding event – the meeting of the Head of the Republic of Crimea with business community, and transfers to the places of cultural program in Vorontsovsky Palace and the winery factory “Massandra”.
Our IT-specialists elaborated and provided support to the Yalta International Economic Forum’s official site www.forumyalta.com and online registration portal. Two accreditation desks were operating at the meeting venue and ‘Yalta Intourist” hotel. For the whole Forum’s period we accredited more than 600 participants, including 64 speakers and 16 media representatives.
Within the frames of the Forum our company also organized interpreters work and elaborated the Forum’s corporate identity and hand-out materials.
“Proxy Centre” company was responsible for work with informational partners and media, and organized press center operation. Informational partners were such reputable federal media as “Expert” journal, info agency “TASS”, radio station “Kommersant FM” as well as leading region’s media: TV and radio broadcasting company “Crimea”, inform news agency “Crimea” and “Krimskaya Gazeta” newspaper. 56 journalists took part in the Forum. It cannot be omitted that the interest to the event was really high: the media quota was 2 times more than it was expected. YIEF was widely covered by media, including ratings-boosting TV-, radio- and internet channels, resulting in 869 publications.
YIEF demonstrated investors’ profound interest to the region and became an effective platform for discussing business development opportunities in the Republic of Crimea and region’s potential demonstration. The Forum is going to be an annual, central business event of the Crimea, which will demonstrate the latest innovations and successful practices not only in the Crimea but in the whole country.
