G20 Sherpas’ Meeting and G20 Finance Deputies Meeting

On September 2-4th, 2013 fifth G20 Sherpas’ Meeting and their joint session with Finance Deputies were held.  The main aim was work on final version of G20 Leaders’ Declaration, which was successfully published on the 6 of September in Saint Petersburg.

«Proxy Centre»  LLC took an active part in the preparation and organization of these events. Particularly, information department specialists were supporting on-line registration of participants. Also, within the framework of the events, following documents were designed:  Administrative Circular (the Newsletter of logistic), newsletters with all necessary additional information (meet-and-greet services in the airport, transport logistics, quotes and etc.)

Two blocks of Host Liaison officers, thirty people in total, were working during G20 Sherpas’ Meeting and G20 Finance Deputies Meeting. They were carrying out a thorough information support for participants on administrative issues and were coordinating delegation’s chauffeured cars. 

«Proxy Centre» transport department specialists organized regular work of shuttles for meet-and-greet service in the Pulkovo-1 and Pulkovo-2 airports, and Moskovskiy railway station. There were special comfortable minibuses for the participants. For a proper coordination and information distribution about latest changes in the standing orders of the event, every bus was assigned to Proxy Centre’s Host Liaison officer.  For VIP participants there were chauffeured executive cars.

Our company organized parking lots close by meeting venues (Taleon Imperial Hotel and Grand Hotel Europa), developed transport routes,  equipped entrances, exits, places of dispatch for participants.

Reception was organized in «Mansarda» restaurant. Guests were transferred from the meeting venue to «Mansarda» restaurant and on their way back after the end of reception.

«Proxy Centre» IT-specialists have arranged accreditation points in the participant’s hotels – Taleon Imperial Hotel and Grand Hotel Europa. Due to our specialists recommendations, accreditation desk was rearranged in the more comfortable for the guests place in Taleon Imperial Hotel. Well-coordinated work of the Organizing Committee and «Proxy Centre» staff, allowed elaborating security and accreditation regulations.

This event was complicated because of two tracks combination (Finance Ministers’ Track and Sherpas’ Track) and because it was close to G20 Leader’s Summit. Nevertheless, Proxy Centre Team did its best to tackle all the difficulties and accomplished its work and accreditation on a high level.
